Challenge Coin MOQ and Lead Time: How Many Do You Need and How Long Does It Take?

Оглавление

Two questions come up in almost every challenge coin inquiry, usually before the buyer has even shared a design: “What is the minimum order?” и “How long will it take?” Both are fair questions, and the honest answers depend on a handful of details that are easy to explain once you see how a custom order actually moves through a factory.

Hesank has been making custom metal crafts in Wenzhou, China since 1996. This guide sets out our real numbers for custom challenge coins and similar products: the standard minimum order quantity (MOQ), how long each stage takes, what makes a job faster or slower, and how to plan backwards from an event date. Where a figure can change by product, we say so.

The Short Answer

  • MOQ: 50 pieces per design as standard. A few product categories have a different minimum, which is shown on the category page.
  • Sample: 5–7 days. A 3D cast design usually takes 2–4 days longer than a 2D stamped one.
  • Mass production: 12–15 days after you approve the sample. Complex specifications such as 3D, double plating or multi-color work take 20–25 days.
  • Shipping to Europe and North America: express 5–7 days, air freight 8–12 days, sea freight 25–40 days.
  • Typical total for a new design shipped by express: roughly 3½ to 4½ weeks from approved artwork to delivery, plus the time you take to review the sample.

The rest of this article shows where those numbers come from and how to shorten them.

Why There Is a Minimum Order

A minimum order is not a sales tactic. It exists because a custom coin has costs that are the same whether you order 20 pieces or 2,000.

  • Tooling. Your design needs its own steel die or mold. Making it takes engineering time and machine hours.
  • Setup. Presses, casting machines, plating baths and enamel stations all have to be set up and adjusted for your specific design, colors and finish.
  • Quality control. Every job is checked at each stage. That inspection time does not shrink with a very small batch.

Spread those fixed costs over 50 pieces and the unit price is workable. Spread them over 10 pieces and the price per coin stops making sense for the buyer. A standard MOQ of 50 pieces per design is the point where custom production becomes reasonable for both sides.

Some categories, such as certain small items, allow a lower minimum, and our FAQ lists 20 pieces for those cases. Always check the category page for the product you are interested in. If you are not sure whether your project qualifies, ask us before you assume it does not.

Can You Order Fewer Than 50?

For a fully custom design, a smaller quantity is generally not practical, for the reasons above. There are, however, sensible alternatives for small projects.

  • Check our Готов к отправке range. These are existing products, and the minimums for each item are listed on its page.
  • Combine variants of one design. The MOQ is per design, but different colors or plating finishes of a single design are usually easier to handle than separate designs. Ask us how variants are counted.
  • Consider a slightly larger run. Because tooling is a fixed cost, moving from 50 to 100 pieces often lowers the price per coin noticeably.

The Timeline of a Custom Order, Step by Step

СценаWhat happensTypical time
1. Artwork and mockupYou send a logo, sketch or reference photo. We prepare a 2D mockup, with unlimited revisions.Depends on how quickly you confirm the design
2. Mold and sampleThe mold is made and a sample produced. The mold fee covers sampling.5–7 days; 3D casting usually adds 2–4 days
3. Sample approvalYou review photos or the physical sample and confirm or request changes.Your pace
4. Mass productionStriking or casting, polishing, plating, enamel, baking and final finishing.12–15 days; 20–25 days for complex specs
5. Inspection and packingQuality check against the approved sample, then packaging.Included in production time
6. ShippingTo Europe and North America.Express 5–7 days, air 8–12 days, sea 25–40 days

The sample stage deserves a short note. For a custom design, the mold fee covers sampling, and production begins only after you approve the sample. The shipping cost of the sample is paid by the buyer. If you want to judge our work before you commit to a design, we can also send one or two existing products made with a similar process as a reference. Those samples are free, and the buyer pays shipping.

A Worked Example

Suppose you confirm the artwork and place the order for 300 two-dimensional soft enamel coins on a Monday.

  • Sample: 5–7 days, so the sample is ready within about a week. Allow a few days for shipping and your review, or review photos for a faster decision.
  • Production: 12–15 days after approval.
  • Express shipping: 5–7 days.

Adding those stages gives about 22–29 days, or roughly three and a half to four and a half weeks, before counting the time you spend on the sample review. If the same coin were a 3D casting with double plating, add 2–4 days for the sample, and production would be 20–25 days instead of 12–15. If you choose sea freight rather than express, add three to five weeks on top.

The simplest way to protect your schedule is to give us the delivery date in your first message, so we can tell you immediately whether a standard schedule fits.

What Makes an Order Faster or Slower

Things that speed it up

  • Clear artwork from the start. A vector logo or a sharp reference image saves rounds of revision.
  • Quick decisions on the mockup and the sample. The factory clock effectively pauses while we wait for your approval.
  • A simpler specification. A 2D design with a single plating finish and a few colors sits at the short end of the range.
  • Standard sizes and finishes. Unusual sizes, special packaging and custom components add steps.

Things that slow it down

  • 3D modelling and casting. The mold is more involved, so the sample takes longer, and production moves to the 20–25 day range when combined with other complex features.
  • Double plating or special finishes. Each additional finish is another process step.
  • Many colors. Each enamel color is filled and baked in turn.
  • Late design changes after sample approval. A change at that point means going back a step.

If you are comparing processes, our guide to die struck vs die cast coins explains how the choice affects both the look of the coin and the time it takes.

Rush Orders

If the standard schedule does not fit your date, rush production is possible, and it is charged as an extra. The earlier you tell us the deadline, the more options we have, because some steps can be arranged in parallel and shipping can be upgraded. What we do not recommend is skipping the sample on a new design. A rushed mistake ships just as fast as a rushed success, and a few days spent confirming the sample is cheaper than reordering.

Express shipping is the usual way to recover time at the end of the schedule. Air freight and sea freight are better when the date is flexible, because they cost less on larger orders.

Shipping, Duties and Payment

We normally quote on a DDP basis, which includes the product, international transport and import duties, and applies once both sides agree on the price. If you prefer to handle your own freight, EXW and FOB are also possible.

Payment terms follow the order value. For orders up to USD 1,000, we ask for 100% payment in advance. For orders above USD 1,000, we take a 30% deposit, with the remaining 70% paid before shipment. Bank transfer (T/T) is the standard method, and small amounts can be paid by PayPal or credit card.

These terms matter for the timeline, because production starts after the deposit and the sample approval are both in place. If your accounts team needs a few days to process a payment, build that into the plan.

Reorders and Mold Storage

The mold we make for your design is stored free for 5 years. During that time a reorder does not pay the mold fee again, and the existing mold is reused. For recurring needs such as annual awards, unit coins or yearly events, this is a real saving in both cost and preparation time. Confirm the details of your reorder with us when you place it, and we will tell you what the schedule looks like.

If you are likely to order 10,000 pieces or more of one design, the mold fee is waived for a single order of that size. If several orders of the same design add up to 10,000 pieces, the mold fee you already paid is refunded. For a closer look at how the mold fee and other items affect the price, see our challenge coin pricing guide.

Examples of Orders We Produce

The coins below show the range of finishes and styles we make. If one of them is close to what you have in mind, send us the link, and we will explain how it was made and what the schedule would be for your version.

How to Plan Backwards from Your Event Date

A reliable method is to start at the date you need the coins and count backwards:

  1. Decide the delivery date and add a safety margin of a few days for customs or delays outside our control.
  2. Subtract the shipping time: 5–7 days for express, 8–12 for air, 25–40 for sea.
  3. Subtract production time: 12–15 days, or 20–25 days for complex specifications.
  4. Subtract sampling and approval time: 5–7 days for the sample, plus your review time, plus 2–4 days if the design is 3D cast.
  5. Subtract the artwork stage: allow for a couple of revision rounds.

The result is the latest date by which you should send your first inquiry. If that date has already passed, contact us anyway. Options such as rush production and faster shipping may still make the schedule work.

What We Need to Quote Accurately

  • Your logo, sketch or reference photo. We prepare 2D mockups for free with unlimited revisions. 3D modelling and special-requirement designs are charged separately, and we confirm the cost with you before starting.
  • Quantity and approximate size.
  • Preferred material, enamel type and plating, or a description of how the coin will be used so we can recommend them.
  • Packaging requirements, such as individual bags, boxes or display cases.
  • The date you need the coins and the destination country.

With these five items we can give you a clear quote and a schedule. If you are comparing suppliers, our guide to choosing a coin manufacturer lists the questions worth asking each one.

Часто задаваемые вопросы

What is the minimum order for custom challenge coins?

The standard minimum is 50 pieces per design. A few product categories have a different minimum, which is shown on the category page.

How long does it take to make custom challenge coins?

The sample takes 5–7 days. After you approve it, standard production takes 12–15 days, or 20–25 days for complex specifications. Shipping is extra: express 5–7 days, air 8–12 days, sea 25–40 days.

Why does a 3D design take longer?

3D casting requires a more involved mold, so the sample usually takes 2–4 days longer than a 2D stamped design. Combined with other complex features such as double plating or many colors, production time moves to 20–25 days.

Can you rush an order?

Yes. Rush production is possible and is charged as an extra. Tell us your deadline in the first message so we can plan around it.

Do I have to pay for a sample?

For a custom design, the one-time mold fee covers sampling, and the buyer pays the shipping of the sample. If you only want to see our work first, we can send one or two existing products made with a similar process, free of charge, with shipping paid by the buyer.

What happens when I reorder?

The mold is stored free for 5 years, and a reorder during that time does not pay the mold fee again.

Which shipping method should I choose?

Choose express when time is tight, air when you want a balance of speed and cost, and sea freight for large, flexible orders. Sea freight takes 25–40 days, so plan it well ahead of the event.
